For Speech-Language Pathologists ·
What you'll accomplish
By the end of this guide, you'll have a reliable system for using ChatGPT Plus to draft quarterly progress reports — synthesizing your session data into professional clinical narratives that justify continued treatment. Quarterly reports that once took 1-2 hours per patient now take 20-40 minutes including your review and edits.
What you'll need
Before opening ChatGPT, pull your session data for the reporting period. You need:
This takes 5-10 minutes if your EHR tracks data well. Have it in front of you — either in your EHR, on paper, or in a quick notes document.
Go to chatgpt.com and click New chat. Set context with your opening message:
You are helping me write quarterly speech therapy progress reports. I am a licensed SLP. Use formal clinical report language. Do not invent clinical information — only write what I provide. Format each goal's progress as a 2-3 sentence narrative. I will provide data for each goal.
What you should see: ChatGPT confirms it understands and is ready for your data.
For each goal, paste your data in a consistent format. Consistency helps ChatGPT produce consistent narrative quality across all goals.
What you should see: For each goal, a 2-3 sentence narrative covering baseline, current status, trend, and clinical interpretation. Troubleshooting: If the narrative sounds too vague, add "include specific accuracy percentages in the narrative text" to your prompt.
After all individual goal narratives, ask:
Now write a 2-paragraph summary section. Paragraph 1: overall progress this quarter. Paragraph 2: justify continued speech therapy services with functional impact rationale.
This is the insurance-facing justification paragraph — review it carefully for accuracy before including it.
Copy each goal narrative and the summary into your report template. Review the complete document for:
Standard goal progress:
Goal: [goal statement].
Baseline (start of quarter): [X]% with [cue level].
Current: [Y]% with [cue level].
Sessions this quarter: [X].
Observations: [notable clinical information].
Write 2-3 sentences on progress toward this goal.
Plateau note (important for insurance justification):
Goal: [goal statement].
Status: Performance plateaued at [X]% from [month] through [month]. Plateau appears related to [reason: complexity of current stimuli / attention/behavioral factors / skill consolidation phase].
Write a clinical narrative for this goal that acknowledges the plateau and justifies continued treatment.
Near-discharge goal:
Goal: [goal statement].
Current: [X]% with [cue level]. Criterion for discharge: [criterion].
Patient is approaching discharge criterion. Write a progress narrative that notes readiness for discharge planning and transition to home practice.
